Payroll Services – FAQ
1. What are Nethris’ main services?Our services include calculating gross-to-net salaries, paying employees, producing pay slips and Records of Employment as well as making government remittances in your name. At year end, we also produce tax slips (T4, T4A, Relevé 1 and Relevé 2) and the federal “Summary of Remuneration Paid” declaration.
2. What type of company are your services and solutions designed for?Our services and solutions are just as useful to businesses with less than 10 employees as they are to those with hundreds. We can process data and prepare payrolls for all types of companies, no matter how simple or complex their situation.
3. How can I send my payroll data to Nethris?There are two simple ways: You can submit your data by phone to one of our consultants, or send it over a secure Internet link using one of our applications. Whether by phone or online, we guarantee that your payroll processing has never been so easy.
4. Will I have to prepare my first payroll by myself?No. We'll be there for you during your first payroll preparation so that it all goes smoothly. Most importantly, we'll provide training at no extra cost. The training time ranges from a few hours to a few days, depending on the solution and options that you've chosen.
5. When do I have to submit my payroll data?Your payroll data must be submitted at least two business days before the pay date. This deadline is so that we can meet the requirements set by Canadian financial institutions surrounding electronic funds transfer.
6. My company only has two employees. Should I hand over my payroll processing to NethrisAbsolutely. Our services are just as well suited to self-employed workers and small businesses as they are to large enterprises. There's more to payroll than just printing cheques. Have you thought about Records of Employment, government remittances, taxable benefits, vacation pay, tips and support payments?
7. Do you handle government remittances?Yes. We can process government remittances in your name according to your remittance frequency. To find out which government agencies we can make remittances to, see the complete list.
8. How are source deductions and government remittances made?Source deductions are made and transferred in your name to the various federal and provincial agencies, according to your company's remittance frequency. This service helps you avoid penalties and interest due to late payments.
9. What documents will I receive each pay period?Each pay period, we send you a set of simple, accurate reports that help you manage your payroll. The basic set includes:
- A record of wages detailing the complete list of each employee’s earnings and deductions
- A detailed report of government remittances made in your name
- A history of earnings eligible for Employment Insurance and the Quebec Parental Insurance Plan (at the end of employment) per employee
- A cost distribution report by administrative unit or by project (as needed)
- A list of pending deductions by employee (when the situation arises)
- An annual payroll calendar
We’ll also send you your employees’ pay slips (cheques or notices of deposit) as well as their Records of Employment (as needed).
10. Do you prepare Records of Employment?Yes. Whenever you ask for them, we'll print them and courier them to you. If you like, we can also prepare the file you'll need to submit them electronically to the federal government via the ROE Web application. You can ask for them at any time, even between two payrolls, if need be.
11. How will my employees be paid?The choice is yours. Your employees can either be paid by cheque or direct deposit. We can deposit an employee’s pay into an account at any Canadian financial institution, and even into multiple accounts, if needed.
12. Is there a limit on the number of earnings and deductions I can use?There are nearly 1,000 earnings and 1,000 deductions available for you to use.
13. Does Nethris handle support payments?Yes. For Quebec and Ontario support payments, you can have the payment deducted directly from a paycheque and transferred.
14. Will you calculate and pay out the contribution to the Commission des normes du travail du Québec (CNT)?Yes. We calculate the CNT contribution amount, and we can pay out the remittance for you. To find out which other agencies we can make remittances to, see the complete list.
15. I have a construction company in Quebec . Can you manage payroll data regulated by the Commission de la construction du Québec (CCQ)?Yes. Our calculation engine meets all the requirements of the Québec construction industry. Hourly rates are automatically updated in accordance with the CCQ's official published rates.
16. Can I distribute labour costs?Yes, we can distribute the labour costs by administrative unit (division, service, department and sub-department) or by project. The costs can be divided by amount or according to a percentage.
17. Can I transfer my payroll data directly to my accounting system?Yes, with the General Ledger Interface option, you can transfer your payroll accounting entries to several accounting programs, such as: Accpac®, Acomba (Fortune 1000), Dynabec, NetSuite®, Quasimodo, Simply Accounting®, Yardi®, etc.
18. Can I make my own reports?Yes. All of our solutions come with a data extractor or report generator so that you can create your own report templates. If you opt for our Telephone Payroll solution, our specialists can design custom reports to meet your needs.
19. Can I issue more than one cheque to an employee in a single pay period?Yes. We can issue more than one cheque to any employee in a given period.
20. Can I prepare several companies' payrolls using one of your solutions?Yes. Our solutions' user licences have no restrictions in terms of the number of companies you use them for.
21. Can I use it to prepare the payroll for a company operating in more than one Canadian province or territory?Yes, our solutions can be used for such companies.
22. Can I do a test run of a gross-to-net calculation and preview the results?Yes. All of our applications come with a user-friendly payroll simulator.
23. If I have questions about payroll legislation, can you help me?Yes. We are always up to date on payroll laws and regulations in all Canadian provinces and territories. We'll stay on top of it for you, so you won't have to spend all those extra hours per year making sure your company complies with payroll regulation.
24. If we have a computer problem and can't send our payroll data, what should we do?In the event of IT-related problems, you can give your data over the phone to one of our payroll-masters who will then enter and submit them for processing.
25. What happens if the person who usually submits the payroll data is absent?No problem. If we can, we'll postpone the payroll for a day, or you can submit your data over the phone to one of our paymasters who will then enter and submit them for processing.
26. Will you prepare my employees' tax slips (T4, relevé 1, etc.) at year end?Yes. We'll produce your employees' tax slips for you. We'll print copies for you and transfer the slips electronically to the federal and provincial governments in your name.
